Job description

We are looking for a Secretary, Administrative Assistant or Liaison Officer.

CUSTOMER SERVICE:

- Answer phone calls promptly, politely and professionally;
- Greet customers on arrival with friendliness and professionalism, and offer them a cup of coffee;
- Ask customers for their driver's license, registrations, proof of insurance, validate their insurance deductible and validate their contact information and e-mail address;
- Check with the customer that the repair order has been signed;
- Assign a courtesy vehicle to the customer and contact the rental company if necessary;
- Set up an appointment with the customer for the estimate or repair of his vehicle, and register the appointment in Progi;
- Explain the warranty, survey and invoice to the customer;
- Handle customer complaints as quickly as possible, according to the manager's instructions;
- Follow up with customers as vehicle repairs progress.

FILE MANAGEMENT:

- Open the file by opening a workshop voucher;
- Ensure the accuracy of the data entered in the file;
- Contact the insurer to determine the amount of the deductible, if applicable, validate coverage and endorsements, and follow up with the claims adjuster;
- If the vehicle is commercial, validate whether the customer has to pay taxes;
- Settle total loss claims;
- Deliver the vehicle to the customer, collecting any deductible, taxes or other charges, and recording amounts received;
- Close files (make sure the RIGHT version of the estimate is exported to RC, convert lines in BR, set dates when vehicle arrives for repair and when completed, and follow up on pending files).

At least 1 year of experience, either in a secretarial, administrative assistant or liaison position is required.

ADMINISTRATIVE DUTIES:

- Take telephone messages and e-mails and forward them to the appropriate recipients;
- Check the day's agenda and ensure that employees are on top of current files;
- Preparation of delivery documents;
- Complete delivery procedure;
- Follow-up on files with managers (files to be delivered, old assignments and outstanding files);
- Track rental vehicles in excel file and with manager.
