Job Description

Summary: Reporting to the Manager Shop and Yard, the Assistant Fleet Coordinator is responsible for providing administrative and operational support to the Yard, Shop and Fleet Asset team of Horizon North, part of Dexterra Group. The Assistant Fleet Coordinator role involves managing inventory, overseeing fleet tracking, performing Quality Assurance (QA) inspections, and executing various administrative tasks to ensure the efficient operation of the fleet.

Duties and Responsibilities

The Assistant Fleet Coordinator plays a vital role in managing and supporting the fleet operations. This role requires a mix of organizational, administrative, and logistical skills to ensure the fleet operates efficiently and effectively. Following are the key duties and responsibilities:
 

  • Fleet Tracking Support: Track all equipment in and out of yard to assist the Fleet Asset team.
  • Quality Inspection Support: Assist with quality inspections to ensure equipment and materials meet the required standards.
  • Reports: Prepare and comply with scheduled fleet reports and any additional reports as requested.
  • Task-Oriented Support: Provide targeted assistance to the Fleet Asset team as needed to support their strategies.
  • Compliance and Documentation: Ensure adherence to internal controls documentation and recommend improvements if necessary.
  • Material Expediting: Expedite materials as needed to ensure timely availability and delivery.
  • Material Delivery: Occasionally deliver materials to remote sites when required.
  • Invoice and Purchase Order Management: Handle the receipt and processing of invoices and purchase orders for materials and services.
  • Inventory Management Support: Aid in managing inventory within the Fleet Shop to maintain stock levels and order supplies as needed.
  • Equipment Catalogue Management: Support the management and updating of the online Equipment Catalogue.
  • Additional Duties: Perform other related tasks as needed to support fleet operations and ensure smooth functioning


Working Conditions
 

  • Environment: A mix of office and yard tasks. The role requires working in both environments to support fleet operations effectively.
  • Safety Training: Will receive training as necessary in required safety protocols to ensure a safe working environment.
  • Work Hours: Hourly paid position with a standard 40-hour work week. Overtime may be required as needed to meet operational demands.


Qualifications

Qualifications
 

  • Valid Class 5 Driver's License: Required for vehicle operation and material delivery.
  • Experience in an Office Setting: Demonstrated ability to handle administrative tasks efficiently.
  • Technological Proficiency: Demonstrated ability to use technology effectively to enhance work processes.
  • AutoCAD Experience: Considered an asset for handling technical drawings and equipment layouts.
  • Microsoft Office Skills: Intermediate to advanced knowledge, particularly in Excel, for managing data and reports.
  • Inventory Management Knowledge: Experience and understanding of inventory processes and systems.
  • NetSuite Familiarity: Experience with NetSuite would be an asset, specifically with inventory and financial transactions.
