Job description
The Sales Secretary reports to the Sales Manager, but works closely with the Financial & Insurance Manager in the sales department. This person will need to be tidy and good at office work. The Sales Secretary is not responsible for meeting customers. His/her role is to support the sales team mainly by assembling sales files.
The main tasks are :
- Assemble vehicle transaction files;
- Print sales contract;
- Print financing documents;
- Prepare documents related to GM programs;
- Print and prepare other required documents, depending on the type of transaction or vehicle (e.g. electric vehicles);
- Complete and print documents for insurance and warranty products sold;
- Transmit required information to accounting in order to issue cheques;
- Report sales to the manufacturer;
- After delivery of the vehicle sold, prepare and forward the necessary documents to the finance department;
- Occasionally answer the telephone at reception during vacations;
- Perform any other related clerical tasks to support the sales department.
We are looking for a Sales Secretary who:
- Has experience in a car dealership;
- Has a professional attitude;
- Is very neat and efficient;
- Is comfortable using a computer and web portals.
