This position will be based in Labrador West and the schedule will be Monday to Friday. Relocation assistance can be provided.

Job Description: 

The Light Vehicle Fleet and Rental Equipment Coordinator is responsible for overseeing the operation, maintenance, and management of light vehicles and equipment within Tacora. This role ensures the fleet is properly maintained, compliant with relevant regulations, and operates efficiently to support business operations. The coordinator is responsible for tracking vehicle performance, managing repairs, coordinating maintenance schedules, and ensuring safe operation. The Light Vehicle Fleet and Rental Equipment Coordinator plays a critical role in ensuring the organization's fleet and equipment are reliable, safe, and efficient, thereby supporting the company's overall operations and objectives.

Key Responsibilities:
 

  1. Fleet Management:
  • Oversee the day-to-day management of the light vehicle fleet which includes owned and rented equipment.
  • Track and manage vehicle usage, including fuel consumption, mileage, and maintenance schedules.
  • Ensure the fleet complies with all regulatory and safety standards, including licensing, registration, and insurance requirements.
  • Maintain accurate records of vehicle inspections, repairs, and service history.
  • Fleet management card reader trouble shooting
  • Keep track of equipment hours IAW rental agreement with renting department.
  1. Vehicle Maintenance and Repairs:
  • Coordinate regular maintenance schedules, ensuring all vehicles are serviced according to manufacturer recommendations.
  • Monitor vehicle condition, identify potential issues, and arrange for necessary repairs in a timely manner.
  • Coordinate with local repair shops for repairs, diagnostics, and part replacements.
  • Ensure that vehicles meet safety and emissions standards.
  1. Inventory and Equipment Management:
  • Oversee the allocation and maintenance of light equipment used within the organization
  • Ensure equipment is regularly serviced, calibrated, and maintained for optimal performance.
  • Maintain an up-to-date inventory of all vehicles and equipment, tracking condition, usage, and location.
  1. Cost Control and Budgeting:
  • Assist in budgeting for fleet and equipment costs, including, maintenance, and repair expenditures.
  • Monitor and report on fleet-related expenses, identifying opportunities for cost reductions or efficiencies.
  1. Safety and Compliance:
  • Perform periodic safety audits and compliance checks to identify and mitigate potential risks.
  1. Reporting and Documentation:
  • Maintain detailed records of all fleet and rental equipment activities, including service logs, accident reports, and driver reports.
  • Generate and present regular reports on fleet performance, maintenance schedules, and vehicle status to management.
  • Ensure all documentation is up to date and accessible for auditing purposes.
  1. Communication and Coordination:
  • Act as the primary point of contact for fleet-related issues and concerns.
  • Liaise with other departments to coordinate vehicle and equipment requirements and schedules.
  • Work with external suppliers, contractors, and service providers to ensure timely services.
  1. Emergency Response:
  • Respond to breakdowns, accidents, or other fleet-related emergencies promptly and effectively.
  • Ensure contingency plans are in place for vehicle and equipment failures to minimize operational disruption.


Secondary Responsibilities: 

Fulfill the role of backup to Senior Supervisor in the Department when they are away from site. Additionally, perform duties, as necessary for emergency call out. 

Skills and Qualifications:
 

  • Proven experience in fleet management or equipment coordination, ideally in a similar industry.
  • Strong organizational skills and attention to detail.
  • Knowledge of vehicle and equipment maintenance practices.
  • Ability to manage budgets and control costs effectively.
  • Familiarity with relevant regulations, including safety and environmental compliance standards.
  • Strong communication skills for working with both internal teams and external vendors.
  • Proficiency in fleet management software and Microsoft Office Suite.
