Job description
Main responsibilities:
- Warmly welcome guests upon arrival;
- Quick qualification (guest already customer? already visited? want new or used, which model?);
- Collect basic information (full name and city of residence)*;
- Direct to appropriate sales representative according to rotation;
- Enter basic information* and model in Activix and assign to appropriate sales representative;
- Indicate to the APP Tour de rôle that the representative is in a meeting;
- Offer refreshments and ensure that customers feel comfortable waiting to be served if there is a delay.
Telephone call management duties:
- Answer incoming calls in a professional and courteous manner;
- Transfer calls to appropriate departments or take detailed messages.
Administrative support tasks:
- Handle incoming e-mails;
- Open mail and forward to President or Controller in case of unavailability;
- Prepare sales department receipts;
- Assist with administrative tasks such as data entry, customer file management and document preparation;
- Perform daily validation of the status of each X-plate by viewing the key table;
- Provide basic information on the vehicles and services offered by the dealership when meeting guests;
- Direct customers to the appropriate departments or sales consultants;
- Maintain the reception area;
- Carry out rigorous management of closing keys.
Requirements:
- Excellent communication skills: ability to interact professionally and courteously with customers and colleagues;
- Organization and time management: ability to manage multiple tasks simultaneously and prioritize effectively;
- Computer skills: proficiency in office software (Word, Excel, etc.) and systems such as CRM (Activix);
- Positive, welcoming attitude: ability to create a positive first impression and maintain a friendly, helpful attitude;
- Ability not to be influenced by sales reps: all visitors showing any interest in a vehicle are VISITORS and must be integrated into the CRM.
Qualifications:
- Previous experience: experience as a receptionist or in a similar role is an asset;
- Education: High school diploma or equivalent;
- Languages: fluent in French and English.
