Job Description

Job Title: Fleet Coordinator

Job Summary
The Fleet Coordinator is responsible for overseeing the daily operations of the fleet, ensuring compliance with safety standards, industry regulations, and company policies.

Responsibility

 

  • Work closely with the Fleet Supervisor to ensure that all fleet vehicles comply with federal, state, and local safety regulations, including inspection and maintenance schedules.
  • Stay updated on transportation laws and industry regulations, ensuring all fleet activities meet the required standards.
  • Assist in coordinating and maintaining driver safety training programs.
  • Assist in coordinating routine inspections and preventive maintenance of all vehicles, ensuring that they meet safety standards and are in good working condition and report any non-compliance or safety issues to the Fleet Supervisor.
  • Assist the Fleet Supervisor with investigating accidents or incidents involving fleet vehicles, ensuring that proper documentation is completed, and corrective actions are implemented to prevent recurrence.
  • Monitor vehicle usage, ensuring that operational schedules and routes are designed to maximize safety and efficiency and report any issues related to safety or compliance to the Fleet Supervisor.
  • Maintain accurate and up-to-date records for each vehicle, including safety inspections, repair histories, fuel consumption, and driver logs. Ensure that all documentation complies with legal and company standards.
  • Assist in preparing for and conducting regular safety and compliance audits and identify areas for improvement and implement corrective actions as needed.
  • Ensure that all fleet vehicles are properly equipped with safety features, including fire extinguishers, first aid kits, safety triangles, and other required tools.
  • Work with the Fleet Supervisor to ensure an effective emergency response plan is in place for accidents, vehicle breakdowns, or other incidents, providing support as needed during these situations.


Academic/Educational Requirements

 

  • High school diploma or equivalent
  • Post-Secondary education in logistics, supply chain management, business or related field is an advantage.


Required Skills/Experience

 

  • Previous experience in fleet coordination, logistics, transportation, or safety/compliance management. Experience in a safety-focused role is preferred.
  • Solid understanding of fleet management, safety standards, and regulatory compliance, such as DOT guidelines, vehicle inspections, and driver safety certifications.
  • Strong organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
  • Excellent communication skills to effectively interact with drivers, management, and external agencies.
  • Proficiency in fleet management software, GPS tracking systems, and Microsoft Office (Excel, Word, Outlook).
  • A valid G driver's licence.
