Position Summary
The Fleet Coordinator will work closely with the Fleet Optimization Manager to ensure the implementation of cost-effective asset management and maintenance strategies that will maximize performance within our dynamic environment while maintaining a safe and reliable fleet.

Essential Duties and Responsibilities
Warranty, Maintenance & Inventory Responsibilities
- Maintain Fleet spreadsheets for CanaDream and THL.
- Work with the Station Managers and the Service Managers to ensure a timely turnaround of parts needed for internal jobs.
- Identify recurring vehicle issues and communicate with manufacturers, service teams and stations.
- Review work orders for proper completion, accuracy and legibility according to the policies and procedures.
- Analyze problems, identify trends and develop strategies for maximizing the maintenance process.
- Weekly checks of recalls through manufacturers and at station level.
- Review sales work and communicate with external shops on progress.
- Initiate service alerts for vehicle issues.
- Create service bulletins for service or maintenance issues for CanaDream.
- Process warranty claims, identify recurring vehicle issues and communicate with manufacturers, service personnel, and station managers.
- Provide monthly spreadsheet to accounting pertaining to warranty received.
- Obtain the manufacturer's approval for each claim.
- Invoice manufacturers for all authorized warranty work.
- Contribute toward recommendations to revise policies and procedures pertaining to accidents, warranties, and guest forms.
Accidents Responsibility
- Analyze problems, identify trends and develop strategies to maximize the claim process.
- Assist with accident claims and communicate with insurance adjusters, third parties, and Guests. Report any concerns to the Fleet Optimization Manager.
Fleet Management Responsibilities
- Pay toll and traffic violations and charge Guests for the cost of the violations.
- Set up and maintain geofence locations for tracking devices.
- Receive all documents for new fleet purchases each season. Keep accurate records and files on the above.
- Request out-of-province inspection forms from Alberta Registry as requested by shop managers.
- Ensure winter maintenance is completed by monitoring station progress and distributing weekly progress reports.
- Enforcement of fleet administration standards and vehicle operating policies.
- Assist with licensing and insurance of vehicles.
Sales Responsibilities
- Assist with Sales prep and work orders from the service and sales teams.
- Schedule OOP inspections and RIV inspections.
- Communicate with customers and dealers for post-delivery queries.
- Review maintenance work done by service team.
- Attend weekly meetings to discuss sales progress.
Service Writer Responsibilities
- Develop cost estimates for time and parts required for service jobs.
- Track repairs and their causes, and process warranties.
- Complete work orders and ensure the maintenance team completes all work orders.
- Keep shop technicians scheduled in accordance with station procedures and requirements to accommodate both Guests and Customer needs.
- Liaise between customers, guests, and suppliers.
- Establish and maintain good faith business relations with customers and vendors responsible for vehicle repairs/service/warranty as well as parts distributors.
Storage Lot Responsibilities
- Assist with Storage lot duties as required, including storage lot checks and processing payments.
- Share ideas to increase storage customers.
Skill Set, Education and Experience
- Minimum 2 years of experience within the RV industry.
- Experience with asset management in a fleet environment is an asset.
- Experience with Microsoft Excel.
- Safety oriented mindset.
- An ability to build and maintain positive working relations with others both internally and externally to achieve the goals of the organization.
- Communicate effectively by speaking, listening and writing in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.
- Work cooperatively and effectively with others to set goals, resolve problems and make decisions that enhance the organization's effectiveness.
- Effectively assess situations to determine the importance, urgency and risks, and make clear and timely decisions.
- Evaluate problem situations to identify causes, gather and process relevant information, generate possible solutions and make recommendations and or/resolve the problem.
- Success in the development and implementation of program improvements for cost-saving measures.
- Excellent organizational, strategic, planning and implementation skills.
- Detailed oriented and the ability to follow through.
- Meticulous record maintenance skills.
Working Conditions:
- Fast-paced office environment.
- Manual dexterity required.
- Ability to work independently and as part of a team.
- Required to sit for an extended period.
- Shift work, including weekends and statutory holidays; early morning start and/or late finish.
- The environment can be noisy at times.
- Travel to other CanaDream stations if necessary.
- Must be able to lift 25 pounds.
- This is primarily an office position but will require some outdoor work at times with extreme temperatures possible in Calgary.
