JOB SUMMARY

The Fleet Maintenance Specialist is responsible for the planning, scheduling and executing Hydro Ottawa's garage activities, ensuring efficient and effective operations for both planned and unplanned maintenance. The Specialist in the development and administration of a service plan, actively engaging with vendors on warranty and technical support issues, recommending prioritization of unplanned work and supporting technicians in diagnostics and quality assurance.

MAJOR RESPONSIBILITIES

The essential responsibilities of the job include but are not necessarily restricted to the following:
 

  • Respond to service requests from fleet users via phone, email or in-person, ensuring that service requests are assessed, prioritized and delegated based on scheduling requirements and complexity of work.
  • Allocate work to external commercial repair shops to maximize productivity and supplement capacity of the internal shop
  • Prepare a detailed work schedule in collaboration with stakeholders for optimal maintenance and to minimize disruption to field operations
  • Plan work schedule using labour time guidelines and to meet standards for service delivery
  • Advise on incorporation of unplanned maintenance activities into the planned work schedule, frequently adjusting vehicle maintenance to accommodate priority vehicles or meet tight deadlines
  • Schedule use and allocation of shop bays, hoists and other equipment
  • Inspect completed work for compliance with applicable standards, conducting quality assurance, including road tests when complex and lengthy work has been completed
  • Provide operational instructions to fleet users over the telephone and provide operation instructions to fleets users when new vehicles are introduced into Hydro Ottawa's fleet
  • Advise and support others in resolving technical and operational issues with equipment and systems
  • Assist the supervisor with various vehicle specifications, providing an overview of historical worked performed when ordering new units,
  • Add technical knowledge and provide work instructions through electronic work orders for all maintenance, taking into account history of vehicle maintenance and updating information to the fleet management information system
  • Authorize requests for repair parts, external services, and shop tools as required to carry out the necessary maintenance, consulting with Supervisor as required
  • Follow safe work practices, keeping work area clean and free of hazards, that tools and equipment are kept in good working order and reporting concerns to Supervisor
  • Ensure repair schedules are adhered to, requesting authorization of overtime from Supervisor to meet maintenance deadlines and priorities
  • Arrange for appropriate emergency response to users with equipment problems or in need of road side assistance
  • Advise on technical matters and problem solving related to maintenance as well as providing technical guidance to Vehicle and Utility Equipment Technicians. Make recommendations on opportunities for improvement with respect to process efficiencies, equipment troubleshooting and use of suppliers
  • Negotiate and validate invoices and labor charges from external vendors, ensuring accuracy, fairness, and alignment with organizational budgets and priorities.
  • May be required to perform the duties of a Vehicle and Utility Equipment Technician
  • Working with telematics and understanding reports in order to assist with maintenance schedules and vehicle replacement schedules.
  • Monitoring and providing vehicle locations through telematics for service calls and maintenance scheduling.
  • Make recommendations to the Supervisor, Fleet Services on fleet lifespan and replacement cycle based on expected life -span and maintenance / operation history.
  • Engage with and resolve warranty issues with vendors.
  • Perform other related duties as required


EDUCATION AND EXPERIENCE
 

  • High school diploma
  • Automotive Service Technician Certificate (310S)
  • Truck and Coach Technician Certificate (310T)
  • Utility Fleet Mechanic Certificate (CUFF)
  • Minimum 5 years' experience as a mechanic on both light and heavy duty equipment within a fleet environment.
  • Experience in vendor management, including negotiation of service contracts and resolution of warranty disputes.
  • Demonstrated success in influencing cross-functional teams and stakeholders.
  • Strong negotiation skills to manage vendor agreements, warranties, and service terms.
  • Experience with complex hydraulic systems, air brake systems and electronic circuitry
  • Experience working with insulated aerial device hydraulic systems
  • Knowledge and experience in scheduling, labour time guides, and service delivery
  • Experience with latest testing methodology and computerized equipment for vehicle maintenance
  • Experience in an advisory role in a fast-paced garage with a medium to high volume customer base
  • Strong computer skills; proficient in the use of office productivity and collaboration tools, preferably G Suite, as well as financial/booking systems and fleet management systems


ADDITIONAL REQUIREMENTS
 

  • English essential, both oral and written
  • Bilingual (English/French) considered an asset
  • Valid driver's license - Class DZ


The terms and conditions of employment for this position are governed by the collective agreement between Hydro Ottawa Limited and IBEW Local 636.

Hydro Ottawa offers a Hybrid Work Model. Hybrid work is position specific, the details of which the hybrid model will be discussed with successful candidates.
