Why we need you

This role requires a strategic, organized, and customer-focused individual who can manage both the parts supply chain and the team that operates within the department. The Parts Manager works closely with other departments, including service, sales, and accounting, to ensure smooth coordination and excellent customer service. And that's where you come in. Our vision at Downtown AutoGroup is to create lifetime guests, not just one-time customers. To do that, we need someone extraordinary. Someone who doesn't just take appointments, but is outgoing and enthusiastic, maintaining high energy throughout the workday. Someone who consistently provides excellent customer experience to every guest and embodies our "you are what drives us" attitude.

Without you, we're just another service center. With you, we're the providers of our guests' automotive dreams, ensuring their vehicles are always ready for the next adventure.

Here's what you'll be doing
Inventory Management:

  • Oversee inventory levels: Ensure the dealership has the right parts in stock to support service and repair demands while minimizing obsolescence and overstock.
  • Order parts: Source and order parts from manufacturers and suppliers to maintain a healthy and efficient inventory.
  • Monitor inventory performance: Conduct regular audits of inventory, reconcile discrepancies, and implement corrective actions.
  • Return obsolete parts: Manage the return of outdated or slow-moving parts to manufacturers or suppliers.
  • Stock rotation: Ensure older stock is utilized before newer parts are used, reducing the risk of holding obsolete inventory.

Team Management:

  • Supervise and lead the parts team: Hire, train, and mentor parts counter personnel and warehouse staff to ensure high levels of service and productivity.
  • Assign tasks and manage schedules: Ensure team members have clearly defined roles and responsibilities, and manage staff schedules to provide sufficient coverage during operating hours.
  • Conduct performance reviews: Regularly evaluate staff performance, provide feedback, and facilitate continuous improvement.

Customer Service:

  • Enhance customer satisfaction: Ensure customers, both retail and wholesale, receive timely, efficient, and friendly service. Handle escalations or complaints as needed.
  • Support the service department: Work closely with service technicians and advisors to provide parts promptly and accurately, ensuring quick turnaround times on repairs and services.
  • Provide technical advice: Assist customers and technicians in identifying the correct parts required for specific vehicles.
  • Negotiate pricing: Offer competitive pricing to customers while maintaining profitability for the dealership.

Sales and Profitability:

  • Achieve financial goals: Monitor and achieve departmental profitability, including parts sales, gross margin, and expense control.
  • Develop promotional strategies: Create and execute marketing programs or discounts to drive parts sales and maintain customer loyalty.
  • Wholesale account management: Build and maintain relationships with wholesale customers, including body shops, independent garages, and fleet operators.
  • Analyze market trends: Stay informed on market demand and emerging trends in the automotive industry to adjust inventory or pricing strategies as needed.

Vendor Relations:

  • Maintain strong vendor relationships: Work with manufacturers and aftermarket suppliers to negotiate contracts, pricing, and delivery terms that benefit the dealership.
  • Evaluate vendor performance: Assess supplier performance based on cost, quality, delivery times, and reliability.

Operational Efficiency:

  • Optimize processes: Continuously look for ways to improve parts department efficiency, such as refining workflow, upgrading software systems, or streamlining order processes.
  • Ensure compliance: Adhere to all dealership, manufacturer, and local government policies regarding parts operations.
  • Safety protocols: Ensure a safe working environment by enforcing safety regulations and maintaining organized, hazard-free workspaces.

Reporting and Analytics:

  • Prepare reports: Compile and analyze data on parts sales, inventory levels, gross margins, and department expenses.
  • Monitor key metrics: Track performance against monthly, quarterly, and annual targets, and adjust strategies as needed to meet or exceed goals.
  • Budget management: Assist in the development of the annual parts department budget and manage day-to-day operations within the financial guidelines.

You need these qualifications

  • Experience: Minimum of 3-5 years of experience in a parts management role, preferably in an automotive dealership setting.
  • Technical knowledge: Deep understanding of automotive parts and systems, including OEM and aftermarket products.
  • Leadership skills: Proven experience in managing and leading a team, with a focus on training, motivation, and delegation.
  • Customer service skills: Strong interpersonal and communication skills, with the ability to resolve customer issues and foster long-term relationships.
