Fleet Coordinator

Reporting to the Manager, Fleet & Equipment and working in conjunction with the Fleet Lead, this role will coordinate activities associated with the vehicle fleet.
This role will support multiple operational locations with day to day fleet administration. Working within an integrated team, this role will support in the successful operation of the vehicle fleet as a turn key solution.
This position is based in Mississauga, ON.
What you will be doing:
- Works extensively with our third-party Fleet Management Company (FMC) on the administration of the Fleet Program.
- Support the administration of new vehicle orders including entering, tracking and reporting on progress.
- Support registration and insurance requirements. Including, annual renewal process, Certificate of Insurance issuance, registration reprints, out of province transfers and cancellations.
- Management of the fuel program including new card activation, replacements, PIN resets and cancellations.
- Action fuel exception reporting, identifying and prioritizing charges that require additional assistance
- Support the monthly fleet billing and cardlock billing process.
- Facilitate the accident management process working in alignment with our insurance provider.
- Supporting inventory management efforts for both assets and drivers within the FMC and ERP systems.
- Coordinate and monitor vehicle transfers between branches, locations and districts.
- Continuous collaboration with our FMC to support the daily requirements of supporting the fleet.
- Prepare reports and communications for distribution to operational leaders.
- Assist in maintaining of a variety of records and files related to vehicles, maintenance, repairs, projects, mileage, depreciation, financial activity and assigned duties.
- Supporting Environmental, Social and Governance reporting (ESG) efforts for emissions tracking and reporting to support larger organizational goals.
What We Are Looking For:
- High school diploma
- 3-5 years' experience in an administrative role
- Advanced experience in Microsoft Office, with superior knowledge in Excel required
- SAP experience an asset
- Experience with Fleet Management a strong asset
- Knowledge of personnel policies and procedures and willingness to comply with company policies for privacy and confidentiality, applicable laws and regulations
- Diplomatic and flexible to work effectively with all levels and personalities within the organization
- Ability to forge, grow and maintain positive relationships with multiple groups
- Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges
- Ability to work within tight deadlines and prioritization of work to achieve them
- Strong organization, critical thinking, analytical and problem-solving skills
- Self-motivated, action oriented and ability to work collaboratively in a team environment or independently on routine tasks with a positive attitude
- Highly developed interpersonal skills and strong customer service orientation
- Demonstrates a sense of urgency and strong commitment to achieving goals; ability to work in challenging, fast paced environment
