GENERAL DESCRIPTION:

Under general supervision, the Fleet Maintenance Planner/Scheduler is responsible for administering the municipal Commercial Vehicle Inspection Program (CVIP). The Fleet Maintenance Planner/Scheduler schedules and implements preventative and corrective maintenance programs for fleet vehicles and equipment in accordance with original equipment manufacturer (OEM) and legislation requirements. The incumbent will coordinate with contractors and user groups involved in the daily maintenance operations of municipal vehicles/equipment to ensure that cost and quality control are maintained. Poor judgement or errors may result inconvenience to internal clients, negative impacts on vehicle and equipment costs, and non-compliance to legislation. 

RESPONSIBILITIES:

 

  • Plan and schedule preventative and corrective maintenance work within the fleet management maintenance software systems.
  • Administer the commercial vehicle inspection program (CVIP) by scheduling inspections, maintaining records, and document control.
  • Create and maintain task lists for preventive maintenance programs and information related to plan estimates for labor, materials, services, and equipment to meet service levels.
  • Create the build of materials list for all fleet vehicles and equipment and assign to the applicable unit when scheduling the various levels of service to aid in the efficient receiving of parts.
  • Administer and monitor the fluid analysis program, recommend next steps for action, and escalate issues as required.
  • Prioritize and administer preventative maintenance schedules while also considering applicable government regulations and operational needs.
  • Review work orders to ensure that trade standards and compliance with safety regulations and codes requirements are met.
  • Assist with fleet acquisition and disposal processes.
  • Coordinate maintenance repairs with contractors and provide on-site orientation to contractors as required.
  • Prepare and issue reports, statistics, budget information, and undertake special projects as needed.
  • Ensure that OEM and other applicable documents are available to fleet staff for reference.
  • Support the development, implementation, and maintenance of departmental standard operating procedures.
  • Escalate information and issues to supervision as required to maintain an efficient flow of information.
  • Participate actively as a team member and support various health and safety, energy conservation, and operational cost effectiveness and initiatives.
  • Provide exceptional customer service to both external and internal clients, as applicable.
  • Perform other related duties as required.


QUALIFICATIONS

KNOWLEDGE, SKILLS, AND ABILITIES:

 

  • Must be familiar with applicable government legislation such as National Safety Code (NSC), Occupational Health and Safety (OHS) and Commercial Vehicle Inspection Program (CVIP), as it relates to vehicle inspections and fleet operations.
  • A mechanical aptitude and knowledge of fleet vehicle/equipment preventative maintenance procedures.
  • Proficient in various Microsoft Office applications, and the ability to learn and utilize other fleet specific programs such as the Fleet Maintenance Management System and Automated Vehicle Location (AVL) system.
  • Ability to work independently and to effectively schedule work in order to meet service demands and minimize disruption to users.
  • Works collaboratively and productively with co-workers and actively contributes to team activities.
  • Positive attitude and desire to provide exceptional customer service.
  • Ability to deal courteously and respectfully with a diverse range of people, using judgement, tact, and sound decision-making skills, sometimes in conflict situations.

EDUCATION AND EXPERIENCE: 

 

  • High school diploma or GED equivalent is required.
  • Maintenance planning certificate such as (MMP) Maintenance Management Professional or (AMP) Asset Management Professional is required, combined with a minimum of eight (8) years related fleet maintenance experience, which includes planning and scheduling fleet maintenance and administration of commercial vehicle inspection programs;


OR
 

  • Certified journeyperson in the trade of Automotive Service Technician, Heavy Equipment Technician, Heavy Equipment Technician - Truck and Transport Mechanic, or Heavy Equipment Technician - Heavy Duty Equipment Mechanic (Off Road), combined with a minimum of five (5) years journeyperson experience and an additional two (2) years of related fleet maintenance planning and scheduling and experience administering commercial vehicle inspection programs is required. Maintenance Management Professional designation or the completion of related maintenance planning and scheduling courses are assets.


OTHER REQUIREMENTS: 

 

  • Submission of a Criminal Record Check.
  • A valid Class Five (5) Operator's License is required as incumbent will be required to operate a personal or municipal vehicle for business use on a regular basis.
