The Administrative Assistant , Utilities & Fleet is responsible for supporting operational service areas within the Infrastructure department, including Water & Wastewater utility, Fleet, transit and solid waste. Reporting to the Manager, Utilities and Facilities Operations, this role ensures timely delivery of services within the assigned areas and interacts with the public to receive and resolve day-to-day issues such as missed garbage collections, water meter installations or replacements, water leaks and transit questions. This role directly supports the assigned operational service areas inventory management and ensures available materials and services are readily available through timely and proactive procurement.
Key Responsibilities:
- Respond to residents' concerns related to transit, water utilities, and solid waste - through telephone calls, service requests, emails apps and internally routed concerns - directing concerns to the appropriate service area and ensuring timely resolution.
- Schedule appointments, coordinate meetings, prepare agendas, take minutes, and follow up on action items.
- Maintain records, process invoices, monitor budgets, and support procurement for fleet, transit, and utility operations.
- Assist in developing and managing contracts, RFPs, and purchase orders, ensuring compliance with contractual obligations.
- Support fleet and utility operations by coordinating equipment maintenance, scheduling service appointments, and managing Cityworks service requests.
- Oversee day-to-day transit services, act as the main contact for contractors, attend regional transit meetings, and administer transit programs.
- Facilitate solid waste collection services, coordinate cart deliveries and repairs, manage inventory, and support public education initiatives.
- Serve as the point of contact for utility locate requests, maintain records, liaise with contractors and agencies, and ensure compliance with regulations.
- Provide front desk support, including receiving shipments, coordinating contractor access, and handling phone inquiries.
- Participate in workplace safety initiatives and assist with various administrative and operational tasks as needed.
Qualifications:
- Certification in Office Administration and/or a Technical Diploma from a relevant educational program
- 3 years' experience in an administrative role.
- Strong organizational skills and processes.
- Excellent organizational and multi-tasking skills.
- Experience in managing inventory.
- Experience in data collection and analytics.
- A strong customer focus including the ability to develop solutions and effectively handle a variety of customer interactions.
- Flexible, adaptable and enjoys challenge.
- Ability to work in a complex work environment, deal with ambiguity and across functions.

- A salary range of $56,674.80 - $73,964.80 per annum (based on experience and qualifications)
