Reception / VIP Showroom Coordinator

We are looking for a Reception/VIP Showroom Coordinatorto join our Fraserway RV Team inAbbotsford, BC.

You are the face of Fraserway RV, to every customer that enters our dealership; you are the first part of their customer experience. You exuberate a vibrant, enthusiastic and friendly smile and can immediately connect with people. You love building relationships with customers and you make sure they have the best first experience. You can quickly pivot between tasks and have excellent time management and organizational skills. You thrive in putting a smile on every customers face!

KEY RESPONSIBILTIES

This position may involve a range of responsibilities as needed, with primary duties including various areas of dealership operations, as outlined in the following items:

VIP Check In 

 

• Greet Customer Promptly
• Ensure Customer's Information is in the CRM
• Add Customer to Daily Traffic-log
• Use FW Loyalty Card or Driver's License to Register Customer
• Direct Customers to Scan QR Code to Enter Free Trip Giveaway
• Assist with Manager Introduction for Shown Appointments
• Salesperson Introduction for Walk-ins or Sales Appointments

Showroom Management

 

• Ensure Coffee, Water & Snacks are Refreshed Twice Daily (Minimum)
• Ensure Daily Traffic-log is Maintained for all Visits
• Ensure Showroom Merchandising is Clutter Free & Tidy
• Update Staff Photos in Showroom Break Area
• Ensure Appointment/Delivery Board is Displayed Correctly

CRM Management

 

• Enter all Visitors in the CRM
• Provide EOD Reconciliation of CRM Data Missing or Needing Update
• Verify Desk-log is Up-to-Date every day
• Ensure Appointment Board is Updated for Next Day

Website Management

 

• Update Photos for New Inventory or Trade-ins
• Update Staff Photos on Website
• Verify Photos are Uploaded Correctly & Website is in Good Standing

Reception Support

 

• Answer & Handle Telephone Calls, as Trained via Virtual Training (VT)
• Greet Every Showroom Guest with a Smile and Provide Assistance
• Update Team Contact Sheet as New Team Members are Hired

Customer Relations & Retention 

 

• Send Clients After-Sale Gifts, as Directed by Management
• Additional Items May Be Added as Needed

Admin/Accounting 

 

• Stock-in All New Vehicles Paperwork and File Creation:
• Stock-in all Used Vehicles paperwork and File Creation:
• Stock-in all Street Purchases:
• Send Lien Payoffs for all Trade-in Purchases:
• Sales Batches/ Bank Deposits
• Petty Cash Balancing
• Mail + Pick Up Checks
• Courier Interstore Items
• Office Supply Ordering
• Post and Maintain Kijiji and FB Ads
• Check Requisitions
• Monthly Lot Inventory Audit to GL Balance

Additional Tasks May include:

 

• DMS Data Entry
• Website Preparation and Maintenance
• Preparation of Reports
• Report Creation and Distribution
• Daily Log Creation and Tracking
• Dealer Plate Log Tracking
• Vehicle Key Management
• Other duties and tasks as assigned by management

REQUIREMENTS

 

• Excellent customer service experience in front customer facing role, ideally in the hospitality or retail industry
• Excellent verbal and written communication skills
• Can learn tasks quickly and the ability to multi-task under pressure
• Excellent time management and organizational skills
• Solid experience in and confidence in using a variety of technology with excellent computer skills
• Excellent experience in utilizing social media
• Experience using a CRM is an asset
• Flexibility with work hours/days
